Position Overview 

This position requires one day per week in the office.

HFHP is seeking a detail-oriented and mission-driven Donor Relations Manager to join our growing Resource Development team. Reporting to the Senior Manager of Annual Giving, this role is responsible for managing donor relationships with new and base-level donors, growing monthly giving, and supporting the infrastructure that sustains our fundraising efforts, including gift entry, data integrity, reporting, and donor communications. 

This is a cross-functional role that blends relationship-building with technical execution. The ideal candidate will be a systems thinker with a passion for donor stewardship, strong administrative skills, and a desire to help expand HFHP’s impact through thoughtful engagement and accurate data practices. 

Key Responsibility Areas: 

Donor Management, Engagement & Stewardship

 

  • Lead strategy and execution for acquisition, cultivation, and retention of new, base-level and monthly donors
  • Support and implement donor stewardship plans, including acknowledgement letters, thank-you calls, and recurring donor recognition
  • Develop and implement strategies to grow and enhance the Hope Builders monthly giving program and increase visibility in the Cars for Homes initiative
  • Accurately process all tribute donations, ensuring timely and appropriate acknowledgements
  • Coordinate donor-facing communications, including bi-weekly new donor emails and annual giving summaries
  • Support Gift Officers to sustain year-round moves management by:
    • Facilitating bi-weekly meetings
    • Providing regular donor prospect reports
    • Ensuring stewardship touchpoints are fulfilled
    • Managing and maintaining donor contacts in Salesforce
  • Participate in ongoing professional development and bring new ideas back to the team
  • Develop and maintain donor reports and mailing lists to support strategic engagement and invitations for HFHP events such as stewardship gatherings, dedications, groundbreakings, site tours, and other key touchpoints
  • Participate in the planning and execution of major Habitat Philadelphia events as needed
  • Serve as a liaison to the Board of Directors and CEO for annual signature event, Building Hope Luncheon, managing communications and planning deliverables.
  • Support the Resource Development team’s strategy to build on the culture of philanthropy at HFHP
  • Employ strategies to ensure appropriate stewardship of individual donors, both in portfolio and as part of overall individual giving strategy  
  • Create and research biographies for current and prospective donors for the officer team and the CEO

Data, Gift Entry & Reporting

  • Maintain data quality and consistency across all donor records and campaigns using Resource Development systems, including Salesforce and Classy/GoFundMe Pro
  • Create, maintain, and update department dashboards and reports to inform decision-making and campaign performance
  • Support segmentation strategies and generate lists for outreach, stewardship communications, and events
  • Respond to inquiries from donors and funders; assist with meeting materials, including pre-meeting research and collateral.
  • Track and follow-up on outstanding donor pledges; Assist with monthly financial Profit and Loss reconciliation
  • Train and support staff in Salesforce best practices and new functionality
  • Partner with the Development Associate to uphold database integrity and documentation standards

Collaborative Fundraising (Habitat for Humanity International)

 

  • Maintain a strong understanding of HFHP’s tier model restrictions and assist in managing cross-departmental transitions related to its implementation
  • Manage and maintain comprehensive Salesforce reports for Collaborative Fundraising
  • Serves as liaison to HFHI on all aspects of collaborative fundraising reporting
  • Prepare and upload monthly donor files to the Habitat Network Portal
  • Track and process collaborative fundraising donations, both individually and in bulk, and ensure all gifts are accurately reconciled with the Finance team.
  • Liaise with marketing and communications team to identify opportunities to engage collaborative fundraising donors

 

 



Qualifications

Required Experience, Knowledge & Skills: 

  • Understanding of Habitat for Humanity Philadelphia’s vision and desire to advance our mission of affordable housing for all 

  • Minimum of 3-5 years of office work experience in a related professional setting, preferably in fundraising and a nonprofit environment 

  • High-level computer literacy, internet, and portfolio management; experience with donor databases, ideally Salesforce, is preferred.  

  • Self-motivated team player with strong organizational and communication skills 

  • Flexibility, ability to adapt to shifting priorities 

  • Highly reliable, extremely organized, and detail-oriented 

  • Discretion with confidential information  

 

Physical Requirements to Perform Duties: 

  • Ability to be stationary for long periods at a computer 

  • Travel to and from meetings and appointments in locations and times when public transit might not be available.
