JOB DESCRIPTION PROJECT MANAGER Project Management Department
Job Summary
The Project Manager (PM) is energetic and committed to holistically managing a complex array of integrated marketing tactics, ranging from small to medium-scale cohesive programs. This person is responsible for managing the creation of project plans and driving both traditional and digital projects from conception through to implementation. Attention to detail and consistency are critical attributes to have for this role. The PM is the problem-solving partner to the account leads for all things logistical, playing an important and proactive role in helping to identify and manage project risks while leading the agency team to meet its deliverables with both decisiveness and confidence.
The PM has a can-do attitude, with a sense of urgency and willingness to take on additional tasks when necessary. The right candidate will have a strong personality and be direct in team communications, but will exhibit professionalism and diplomacy, while building strong relationships across agency disciplines and with external partners. The PM projects a calm, positive attitude toward peers and conveys confidence without overpromising on expectations.
Key Job Responsibilities(Duties may include, but are not limited to all or some of the following)
PM Methodology:
Applies Calcium’s methodology in project plans, contracts, and status reporting and can adapt and flex the methodology for different types of projects and client needs
Develops, maintains, and refreshes project timelines by collaborating with respective team members to ensure that all pertinent concerns have been addressed and agreed upon.
Responsible for meeting client deadlines and budgets on all agency deliverables while delivering a quality product
Resource Allocation:
Responsible for ensuring that all needed assets and resources are identified at a project-level to successfully meet client expectations
Partners with Director of Project Management to address resource needs and project staffing
Provides input on resource estimates, allocations, and forecasting at an individual project level
Project Finances:
Proactively manages project-level finances based on brand fee structure and accurately calculates cost-to-complete estimates
Develops estimates for new project asks as communicated from the account team.
Manages project change request process
Internal Management:
Responsible for trafficking jobs to ensure they stay on task and on time; owns and takes responsibility for clean historical record of project workflow
Keeps teams informed of status/next steps for all projects via daily hot sheets and weekly status meetings
Acts as main liaison for internal creative and digital services departments
Coordinates and organizes electronic job jackets consisting of all client deliverables/receipts, internal workflow correspondence, etc
Facilitates communication between all team members in all phases of project development to ensure all disciplines are kept abreast of action items, feedback, next steps, client communications/conference reports, project developments, project status and direction, etc; makes sure the right people are in the right meetings
Ensures that product delivers on time and on budget without jeopardizing quality
Delivers instructions in a clear, concise manner, providing backup materials and documentation when necessary
Job Qualifications(Skills/Requirements)
Bachelor's degree required
Proficient in project management and familiar with different project methodologies
3+ years of experience in digital/print production of marketing sales materials (print and digital sales aids, videos, responsive websites, banner ads, email tools, etc)
Med/legal and FDA 2253/OPDP submission experience preferred
Microsoft Office Suite: Word, Project, Excel, PowerPoint; Acrobat Professional; web-based paperless routing and project management system administration
Proficient in project level financial management, including different fee structures (fixed, T&M, retainer, etc)
Strong communication skills
Problem solver with excellent communication skills
Proven ability to multitask and handle stressful situations and deadline pressures
Willingness to go beyond what is described in the job description and be flexible for the team, and ultimately, the work
